Chevron is accepting online applications for the position Administrative Assistant through 12/20/2021 at 11:59 p.m. Central Time
Responsibilities for this position may include but are not limited to:
Works independently, identifies needs and proceeds on own initiative.
Handles highly confidential material and maintains highly confidential files.
Serves as a conduit for the group's work in the absence of manager.
Stays up-to-date on Chevron systems and technology and applies proper departmental formats, procedures and brand identity. Acts as liaison for outside companies and employees in coordinating meetings with managers, information, logistics and other requests.
Communicates and works effectively with a diverse team of coworkers, contractors, and internal and external customers.
Orders and maintains office supplies. Orders and inventories staff cell phones and computer hardware.
Retrieves, scans, and sorts mail for the department.
Prepares monthly expense reports for travel and/or procard expenses.
Prepares and submits check requests, manages and processes monthly procard purchases and statements, and registers and assists staff with information for seminars and conferences.
Creates, tracks, and distributes monthly out of office calendars. Also maintains time-keeping records for Tax staff.
Processes and submits invoices to accounts payable, sets up information for paying vendors/companies, and traces unpaid invoices when required.
Submits payments for outside legal engagements and other professional consultants and maintains master files of consulting agreements.
Arranges meetings, informs participants and assists with preparation of agendas and organizes and arranges for visitor access, office space and equipment, phone/email access.
Stays up-to-date on changing technology, new equipment, corporate directives, and other processes and procedures including ergonomic reviews, training, etc.
Coordinates staff office moves with Chevron building management.
Handles multiple tasks effectively and also performs other miscellaneous duties and special projects as requested.
Required Qualifications:
High School Degree or equivalent
2-4 years of administrative experience
Experience in Microsoft Office suite of software applications
Experience using Sharepoint
Relocation Options:
Relocation will not be considered.

Expatriate assignments will not be considered.
